Restricted access for presenters

We would love to be able to add presenters to each program but to do so means sending them an email which gives them a fair bit of read-only access in the background.
We'd love an access level that allows each presenter to access to their person profile only, allowing them to add their profile photo and not much else.
At the moment, if we add a new presenter, it sends an email inviting them to view much of the background activity.

Hello James - another option now that I think about it is having an option not to send an email.
We have now created a low-access permission group but given our presenter demographic (some of whom are anything but tech-savvy), when we add a presenter to a program, that sends them an email, sparking a whole lot of "what is this for?" kind of questions.
If we had a "don't send email" option, that would eliminate that problem.
We also have a few who don't have an email address. For these people we could use the generic station email address to allow us to set them up without triggering a whole lot of emails being generated.

Neil: Unfortunately we can't skip the email since this is the only secure way to set a password for the user.
What I can do is change the email sent, so it's a bit more generic and doesn't mention features and functionality that they won't have access to.
Another alternative is I could set up a new user type, one that only has access to login via Studio Panels. That way you can set the email and Studio Panel PIN for them, which they could then use to log in to a Studio Panel. This would require some work to allow users to update their profile (and shows they are assigned to) via the studio panel.
Give me a detailed run down on what exactly you want presenters to do and see and I'll see if I can find a way to make it work for you :-)

Hello James,
Thanks for coming back to me. Hoepfully, these suggestions are helpful and not annoying :-)
There are a couple of things that come to mind ...
First of all, we have a few presenters who love fiddling. When they get their new user email, of course, they head into Studiio and start looking around. In reality, they need to be able to update their profile (email, photo and not much else). We don't want them updating their programs ... that opens up too many issues. Right now, with the minimum access (we've set up a group called Volunteers), they can see a number of screens (albeit read only). This has led to a few of them wanting to know why they can't edit anything.
Also, from a Studio Panel perspective, we don't want them logging in because (a) we don't need them to be able to access anything except the Panel (e.g. we don't want them replying to SMS, FB, etc) and (b) we would have people needing to login and log out every hour or two which would make my life miserable! As things stand, the Studio Panels are available in the studio without the need to login and we like it that way.
Secondly, as a Manager, it would be good to be able to manually update the email address and photo of all users. We have had a few who have received and deleted their Welcome email and, so now, I am not aware of any way that we can update their details. If the Manager level could update the user profiles and/or re-issue the welcome email, that might work.

#1: I've reviewed any dead links due to permissions, and added some tooltips for fields that are disabled to explain why they aren't editable. Users in that permissions group will still see the stats on the dashboard though. If you think they shouldn't see this, I can add some extra permissions to cover it, let me know.
#2: I've hidden the studio panel passcode field when the studio panels permission isn't set to 'Manage', that way they can't set a studio panel passcode and therefore cannot log in to a studio panel. This will change in future as i'll be conducting a permissions check and adding more permissions for Studio Panels.
#3: Good idea, I've added the ability to do that via the dashboard in Settings > Users.
A few more things:
- Added the ability to preview permission groups in the dashboard, so you won't need to log out and back in to a different account just to see what the dashboard looks like for those permission group users.
- Updated the invitation email format and wording. Less what Studiio can do, more about getting the user to set a password. I also added a link to the password reset page in the event that the user doesn't set a password within 24 hours. Screenshot attached.
- As above, we can't resend the invitation email (it gets sent when a new user is added), but it basically does the same thing as the password reset email. So if you need to re-trigger the email, try plugging their email address into Forgot Password and it'll trigger a new email.
These updates will be rolling out in the next 15-30 mins.

Hello James
Thanks for responding so quickly ... I hope that we are not being a nuisance and that our ideas are helpful for other users too.
#1 - happy for them to see the stats, just not take any action beyond updating their personal details. Great idea for the
#2 - excellent outcome. Great that they can still launch the panel in view mode though!
#3 - working beautifully
Few more things:
a) Spectacular work. I was losing track of which version of me I was logged in as
b) Yep, nice.
c) No stress as long as they can request a new password and therefore log in or I can do it in the background.
Love your work.

Neil: Not a nuisance at all! Whatever issues you encounter or features you suggest, others will also find value in it.
It's hard to get valuable feedback and suggestions from users, so I really do appreciate your posts!
I'll keep this one open as I'll be adding some more improvements in near future. Any extra suggestions or issues around user permissions, feel free to comment in this post for me to consider :-)

Review/add permissions

A review of permissions and permissions groups:
- Permissions pulling through correctly in Studio Panels?
- Permissions pulling through correctly in Dashboard?
- Should allow for presenters assigned to shows the ability to edit that show's info (timeslots too? or should that be separate?)
- Should allow users to preview what the dashboard/studio panel looks like for permission groups

Hey Neil,
Thanks for this feature request.
When adding a new user, we will always send an email asking for the user to set a password. This won't change as it's required for all users to set a password securely.
If you want users to just add a profile photo and nothing else, you could create a custom permission with every permission set to deny. They would only have access to their user profile that way. Although I think the dashboard stats are still unlocked, i should add permissions to those...
I'll use this request to add some things to our permissions handler, though namely:
- More finely grained permissions
- Allowing users assigned to a show to update basic info about that show (if their permissions are set correctly)
- Extra permissions for station chat
- Extra permissions for Studio Panels (layout mode, etc...)
- The ability to preview what those permissions looks like in the dashboard (saves you from creating a test account just to see what it looks like)
If you can think of any other permissions related features or issues, let me know! I'll see if I can work on it this week.
